Administrative Support Assistant

As an Administrative Support Assistant, the incumbent is the principal source of administrative support and relatively standard operational and budget issues. Incumbent performs full range of office support duties using automation technology, and resolves problems associated with administrative and clerical work of the office. Duties may include, but are not limited to, the following:
Participate in the budgetary process by preparing statistics on salary costs, utility charges, etc., expense tracking, budgetary projections for the Project Leader, taking into account inflation and other expected increases. Compile budget and fiscal data from financial management reports, and track all fund targets for a station that has multiple natural resource sub-activity accounting codes. Prepare obligations, review and process invoices and vouchers, and enter information into an automated administrative accounting system. Review and report on obligations and expenditures in accordance with legal and regulatory controls, and review reports for errors. Purchase necessary supplies and services (within delegated warranted authority) by proper procurement methods. Incumbent has authority to purchase/approve supplies and equipment using government credit card. Initiate personnel actions through automated personnel tracking and payroll system, and prepare and process miscellaneous personnel forms. Prepare, maintain, and insure accuracy of time and attendance reports through the electronic time and attendance system, and coordinate with Regional Payroll Coordinator on payroll problems. Coordinate travel schedules, arrangements, justifications, and necessary authorizations for all staff, and prepare and submit all travel vouchers. You must meet the following qualification requirements to qualify at the GS-06 level:
Possess 1 year of specialized experience equivalent to at least the GS-5 grade level in Federal service. This experience may include:
knowledge of administrative functions; knowledge in the use of various word processing and spreadsheet software; assisting with procurement of services and supplies; preparing/reviewing travel vouchers; assisting in the preparation of budgets; preparing and submitting payment packets; serving as a timekeeper using an automated system; coordinating staff training; maintaining file system; preparing and monitoring personnel actions; meeting and communicating effectively with others. You must meet the following qualification requirements to qualify at the GS-07 level:
Possess 1 year of specialized experience equivalent to at least the GS-6 grade level in Federal service. This experience may include:
knowledge of administrative functions; knowledge in the use of various word processing and spreadsheet software; coordinating procurement and contracting regulations, policy and procedures; knowledge of annual work planning and analyzing funding requirements; preparing/reviewing travel vouchers; preparing and submitting payment packets; serving as a timekeeper using an automated system; coordinating staff training; maintaining file system; knowledge of personnel functions and procedures and preparation and monitoring of personnel actions; meeting and communicating effectively with others.
Experience:
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Promotion Potential:
This position involves a multi-grade career ladder. The major duties listed represent the full performance level of GS-6/7. At lower grade levels, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-6/7. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher level work, and availability of funds.The selectee may be promoted without further competition when all regulatory, qualification, and performance requirements are met. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
